How to Prepare for a Difficult Employee Conversation

Preparation helps managers stay specific, listen well and agree on a next step.

Before a difficult conversation, write down the purpose in one sentence. Gather the examples that support it, decide what outcome or next step you need, and consider what questions the employee may have.

During the conversation, describe the situation without personal labels. Explain the relevant expectation, pause to hear the employee's view, and confirm what happens next and when you will follow up.

Some situations need additional review before a manager speaks with an employee. When a complaint, safety concern or other sensitive issue arises, use the organization's process and get appropriate advice.
